At 6pm on Friday 12 December 2025, Pete from the Sunshine Coast called Custom T Shirt Printing Online with a problem.
He needed 40 custom printed garments completed and express shipped to the Cruising Yacht Club of Australia in Sydney before Christmas.
Pete's project is also a good example of how we provide custom T shirt printing for Sunshine Coast customers who need their garments produced in Brisbane and shipped to them or directly to an interstate event destination.
The garments were being prepared for a sailing crew attending the events surrounding the 2025 Sydney to Hobart race, which begins on 26 December.
Arriving after Christmas was not an option.
The order involved 20 white AS Colour Staple T shirts and 20 white polo shirts. Both garment types required multiple print positions, sponsor branding and sailing crew artwork.
At first, it sounded achievable.
Then we looked at the complete job.
Christmas was approaching. Local suppliers were stopping deliveries. Staff at different businesses were beginning their Christmas holidays. Many businesses would close or operate reduced hours by Wednesday 24 December.
We effectively had seven days to resolve the artwork, source the garments, organise two different production workflows, print all 40 garments, pack the order and place it into the express freight network.
There was another major issue.
The artwork was not ready to print.
The files had been created using Canva and supplied as JPEG images. Some colours were incorrect. Font sizes and positioning needed work. The Sumatra sailing logo required considerable editing and Pete was still finalising parts of the design.
What looked to the customer like a relatively straightforward order for 20 T shirts and 20 polos quickly became a complicated urgent custom apparel project.
Our job was to make sure Pete did not have to manage those complications himself.
He needed the finished garments.
We needed to work out how to get him there.
Pete wanted his sailing crew to arrive in Sydney wearing professional looking apparel that represented the Sumatra crew and its sponsors properly.
These were not generic promotional shirts being handed out at an event.
The garments would be worn around the yacht club and at functions associated with one of Australia's best known sailing events.
The crew apparel therefore needed to look organised and professional.
The blue Sumatra artwork had to reproduce properly.
The orange Buderim Ginger sponsor branding needed to stand out against the white garments.
The placement of the logos needed to look balanced.
The T shirts and polos needed to appear as though they belonged to the same crew even though they would eventually require different printing methods.
Most importantly, the garments needed to reach Sydney before the Christmas shutdown period.
A beautifully printed sailing shirt arriving after the event would be of little use.
The first call came through at approximately 6pm on Friday 12 December.
We reviewed the requirements and prepared the quotation on Saturday 13 December.
Our internal goal was to have the complete order shipped no later than Friday 19 December.
We knew the following week would be difficult.
Christmas Day was approaching and many suppliers, couriers and businesses would be operating on reduced schedules. By Wednesday 24 December many businesses would be closing early before Christmas Day and Boxing Day.
The Sydney to Hobart race was scheduled to begin on 26 December.
Pete therefore needed the garments before the holiday period began.
The delivery destination was:
Cruising Yacht Club of Australia
1 New Beach Road
Rushcutters Bay NSW 2011
This meant production was only one part of the deadline.
We also had to allow enough time for express delivery from Brisbane to Sydney.

The project consisted of two separate groups of garments.
The first was 20 white AS Colour Staple T shirts supplied by Custom T Shirt Printing Online.
The second was 20 white polo shirts that would ultimately be supplied by the customer because the required polos could not be sourced through our normal urgent garment supply process within the available timeframe.
Although there were two garment types, Pete wanted them to carry the same overall crew identity and sponsor branding.
That increased the importance of colour consistency, print sizing and positioning.
For the T shirts, we decided to use the white AS Colour Staple Tee.
The requested size breakdown was:
The AS Colour Staple was selected because Pete wanted the garments to have a more premium appearance.
For a crew attending sailing functions and events around the Sydney to Hobart race, we felt the Staple Tee would present better than selecting a cheaper garment simply because the order was urgent.
Urgent printing should not automatically mean compromising on the shirt.
The colour selected was white, which also worked well with both the blue Sumatra artwork and the orange Buderim Ginger branding.

This was not a simple front logo order.
There were four print positions involved across the garments.

With multiple print locations across 40 garments, poor placement would have been very noticeable.
The artwork therefore needed to work not only on a computer screen but also when the garments were actually being worn.
Urgent custom T shirt printing becomes considerably harder when the artwork still needs to be repaired.
Pete's artwork had been created through Canva and supplied to us as JPEG files.
Canva can be very useful for developing design ideas. The problem was not simply that Canva had been used.
The difficulty was that the files we received were raster images rather than the editable vector artwork required for parts of our production process.
Once logos, text and design elements are flattened into a JPEG image, individual components are much harder to adjust accurately.
This mattered because the artwork still needed work.
The Sumatra logo required substantial editing.
The font layout needed attention.
Font sizes needed adjustment.
Some font colours needed correction.
Element positioning had to be revised.
The overall layout still needed customer input before we could lock down the final production artwork.
The Buderim Ginger sponsor files were much better quality and gave us a stronger starting point.
However, the complete job could not proceed until all the artwork worked together.

Supplying the best quality original artwork available gives us more flexibility when resizing logos, correcting layouts and preparing designs for the selected printing method.
On a normal printing project there may be additional time available to send artwork backwards and forwards.
That luxury disappears when the deadline is only days away.
A poor quality JPEG might look acceptable on a mobile phone but become unsuitable when enlarged to 30 cm across the back of a garment.
Incorrect colours can become obvious once a transfer or direct print is produced.
Text that seems correctly positioned on a flat digital mockup may not look right once placed on an actual polo or T shirt.
For this reason, artwork preparation became one of the first priorities.
With Pete providing input as the designs were adjusted, we worked through the artwork during the weekend.
By Sunday night, the four required artwork elements were ready for production.
That was an important milestone.
But we were still far from finished.
The 20 AS Colour Staple T shirts could be moved through our urgent printing workflow.
We decided to use Direct to Garment printing, commonly referred to as DTG printing.
DTG was suitable for the detailed artwork and worked particularly well with the white AS Colour Staple garments selected for the job.
Another advantage was speed.
The T shirts could be pushed through our Same Day Dispatch urgent printing service subject to artwork, garment availability and production capacity.
Instead of waiting for every part of the polo problem to be resolved, we separated the project into stages.
The T shirts went into production first.
By the following Tuesday, all 20 T shirts were printed.
One half of the order was now complete.
The bigger problem was still waiting for us.
For this part of the order, Direct to Garment DTG printing gave us a practical way to reproduce the detailed full colour sailing and sponsor artwork on the white AS Colour Staple T shirts while keeping the project moving within the urgent production schedule.
Pete wanted 20 white polo shirts decorated in the same general positions as the T shirts.
Under normal circumstances, we would source the appropriate polos from our garment supplier.
That was not realistic on this job.
The polos were not part of the urgent garments we held ready for emergency printing and suitable stock would need to be ordered from AS Colour in Melbourne.
That additional transport time created a risk we were not prepared to take.
Waiting for interstate garment supply could have consumed valuable days.
We needed another solution.
We suggested that Pete source suitable white polo shirts from Uniqlo.
The client agreed to purchase the garments and deliver them to our Stafford Heights location by Tuesday.
This removed one major delay from the project.
Rather than waiting for polos to travel from Melbourne to Brisbane before we could begin decorating them, the customer could source the required garments locally and place them directly into our production workflow.
At that stage, our plan was to decorate the polos using vinyl heat transfers.
The production plan appeared to be back on track.
Then we ran the test print.
By Tuesday, the AS Colour Staple T shirts had already been printed successfully.
We were happy with them.
The Sumatra branding looked right.
The colours worked.
The finished T shirts gave us the visual standard the polo shirts now needed to match.
We then tested the vinyl transfer option planned for the polos.
There was a problem.
The colours produced through the vinyl process did not match the brand colours closely enough.
That might sound like a small issue.
For this particular project, it was not.
The customer was receiving two different garment types carrying the same sailing crew and sponsor identity.
If the T shirts displayed one version of the colour and the polos displayed a visibly different version, the complete order would lack consistency.
The crew would potentially be standing together wearing garments that appeared to have been produced for different teams.
We could technically have continued.
The vinyl could have been applied.
The garments could have been completed.
The order could probably still have left on time.
But that did not mean it was the right decision.
This became the critical decision in the entire project.
We could take the easy path and continue with the original production method.
Or we could stop, reassess the situation and find a better way to produce the polos.
At Custom T Shirt Printing Online, we chose the second option.
The fact that an order is urgent does not make poor colour matching acceptable.
Pete was trusting us to make production decisions on his behalf.
He should not have to understand why vinyl, DTG and DTF reproduce artwork differently.
He should not have to start searching for another printer while Christmas was approaching.
He should not have to coordinate separate printing companies himself.
That was our responsibility as his printing guide.
We decided to change the production method.
We stopped the proposed vinyl production and switched the polos to Direct to Film printing, commonly known as DTF printing.
Changing to DTF printing for custom apparel gave us another production option when the original vinyl test did not provide the colour result we wanted. In this case, changing the print method was preferable to continuing with a process we were no longer satisfied with.
DTF provided a better solution for the colour requirements of this particular job.
It allowed us greater control over the CMYK colour reproduction and gave us a better opportunity to create polo branding that visually complemented the DTG printed T shirts that were already complete.
The decision solved one problem.
It created another.
For the DTF workflow being used on this project, suitable EPS vector files were required.
The original JPEG artwork was not sufficient.
That meant the artwork had to be converted and prepared again.
There was no additional day available to push the production schedule backwards.
The vector work therefore had to happen overnight.
We converted the required artwork into the formats needed for the new production workflow.
By the following stage of production, the EPS vector files were ready.
Changing from vinyl to DTF had not been part of the original quotation.
It was a decision we made because the initial test was not producing the result we believed Pete and his crew should receive.
Once the vector artwork was ready, we contacted one of our Brisbane collaboration partners and asked if they could urgently produce the DTF transfers for us.
Fortunately, they were able to help.
Because the artwork had already been prepared correctly, the DTF transfers could move into production immediately.
Within approximately two hours, the required DTF prints were available.
They were collected and taken to the garment printer so they could be pressed onto the customer supplied polos.
This is one of the areas where solving an urgent printing problem can be very different from simply accepting an online order.
Sometimes the original plan stops being the best plan.
You then need to know who can help, what production method should replace it and whether there is enough time remaining to make the change.
The DTF transfers were applied to the polo shirts using the required print positions.
The polos now had the Sumatra sailing identity and sponsor branding required for the crew.
More importantly, they worked visually alongside the completed DTG T shirts.
We had not chosen DTF because it was easier.
We chose it because the test showed us it was the better production method for the polo shirts in this particular project.
The customer did not have to manage that change.
He did not have to find a DTF supplier.
He did not have to understand why we rejected the vinyl.
He did not have to organise the vector conversion.
He did not have to coordinate our printing partners.
He had asked us to get his crew garments ready.
Our responsibility was to solve the production problems standing in the way.
The polo quotation had originally been based on vinyl heat transfer decoration.
Changing to DTF meant additional production work that had not been factored into the original costing.
We did not go back to the customer and turn the production issue into his problem.
We absorbed the additional production cost associated with changing the method.
That reduced the profitability of the job for us.
However, sending out polos that we already knew did not visually complement the finished T shirts was not an acceptable alternative.
Sometimes under promising and over delivering means making a decision that protects the final result even when that decision costs the printing company more.
The pressure had now moved from printing to logistics.
The complete order consisted of:
All 40 garments were completed and ready for dispatch by Thursday afternoon.
We had managed to get the project finished ahead of our original Friday shipping deadline.
The 40 garments were boxed together.
They were then express shipped from Brisbane to:

This project also demonstrates how customers can arrange custom T shirt printing for Sydney delivery even when the order is being managed and produced outside Sydney. For event orders, the delivery destination and required arrival date should be established before production begins.
Once the parcel entered the delivery network, we obtained the tracking number and sent the details to Pete.
We did not consider the job finished simply because the box had left us.
With Christmas only days away, freight was still one of the biggest risks.
We continued monitoring the tracking.
We updated the client by text and email as the parcel moved through the delivery network.
The garments arrived at the Sydney destination on the morning of 24 December.
The crew now had their custom printed T shirts and polo shirts before the Christmas shutdown and ahead of the Sydney to Hobart race on 26 December.
That was the outcome Pete had wanted when he called us on Friday evening.

Following testing, the production method was changed from vinyl to DTF because we were not satisfied with the colour reproduction achieved through the original method.

The artwork work ultimately became even more important because suitable vector EPS files were required when the polo production method changed.
Express shipping to Sydney: $75.00
Express delivery was an essential part of this project.
Saving money with a slower freight method would have made little sense if the garments arrived after Christmas or after the crew needed them.
Total: $2,123.00
The additional DTF production resulting from the last minute change had not been included in the original costing.
We chose to absorb that additional production expense rather than compromise the finished polos.
From Pete's perspective, the request could have sounded simple:
"I need 20 T shirts and 20 polos printed for our sailing crew."
Behind the scenes, the project required considerably more.
The supplied JPEG artwork had to be assessed, corrected and prepared for production.
Typography, colour, layout and sizing all needed attention, particularly within the Sumatra artwork.
Rather than selecting the cheapest T shirt available because the order was urgent, we used white AS Colour Staple Tees to provide the more premium appearance the customer wanted.
DTG printing gave us an effective production solution for the AS Colour Staple T shirts and allowed the detailed artwork to be reproduced on the white garments.
The required polos were not available through our normal urgent garment stock.
Rather than risk waiting for supply from Melbourne, we developed a solution that allowed Pete to source suitable white polos locally.
We tested the original polo decoration method before proceeding with all 20 garments.
That test exposed a colour problem before it became a 20 garment problem.
When vinyl did not produce the result we wanted, we stopped and changed production methods.
That decision required new artwork preparation, another supplier and an urgent production turnaround.
The DTF production workflow required suitable EPS vector artwork.
The files were prepared overnight so the production schedule could keep moving.
Our Brisbane network allowed us to obtain the required DTF prints quickly.
The transfers were ready within approximately two hours once the print ready files were supplied.
The artwork had to remain properly positioned across multiple areas and two different garment styles.
The completed garments still had to travel from Brisbane to Sydney during one of the busiest delivery periods of the year.
Production speed alone would not have guaranteed success.
We monitored the express parcel and kept the customer updated until the garments arrived at the yacht club.
The finished order arrived on the morning of 24 December.
One of the most important aspects of this project was what the customer did not have to deal with.
He did not see us reject the vinyl test and begin looking for another production solution.
He did not have to contact our DTF partner.
He did not have to arrange the artwork conversion.
He did not need to coordinate multiple production locations.
He did not have to work out how to match the printing across DTG T shirts and DTF polos.
He did not have to chase the freight himself to determine whether the order had reached Sydney.
From his perspective, he had placed an urgent custom garment order and needed it delivered.
That is exactly how a good printing service should feel to the customer.
The production problems belonged to us.
Pete's job was to approve the artwork and provide the information we needed.
Our job was to find the practical path from his request to 40 completed garments arriving in Sydney.
The story did not end when the parcel arrived.
In April 2026, Pete called again.
He was not chasing an order.
He was not reporting a problem.
He simply wanted to thank us for the effort that had gone into completing his sailing crew apparel.
Every printing business receives enquiries, quotes and orders.
It is different when a customer calls months later simply because they remember the service they received and want to say thank you.
That call meant a great deal to us.
The customer had not seen most of the production problems happening behind the scenes.
He did not know every conversation, artwork adjustment and last minute production decision required to get the order over the line.
What he did know was that the shirts arrived.
They looked good.
His crew had them when they needed them.
For us, that was the measure of whether the project had succeeded.
We do not believe the value of a custom printer is measured only by whether they own a printing machine.
The real value often appears when the original plan goes wrong.
Can the printer identify a bad artwork file before printing it?
Can they tell the difference between a print method that will merely work and a print method that will produce the better result?
Can they respond when garment stock is unavailable?
Can they find another production solution when the first method fails testing?
Can they work with other specialists when necessary?
Can they give the customer a realistic answer about the deadline?
Most importantly, can they get the job completed without transferring every production problem back to the customer?
This project required all of those decisions.
