Because this project involved 148 garments, it followed a structured bulk T shirt printing process covering garment selection, size allocation, artwork approval, production and delivery.
The main challenge was coordinating artwork, stock availability, printing and freight within 18 days.
A funeral date cannot normally be moved because a printing order has been delayed. This meant every decision had to be made early enough to protect the production schedule.
The family also needed a large number of garments across adult and children’s sizes. Some requested colours were not available in every size, so the garment allocation had to be reviewed before the shirts could be ordered.
The order could not move directly from an enquiry to printing. We first needed accurate information, confirmed stock, approved artwork, approved mockups and full payment.
Urgent funeral shirt printing requires more than knowing the total quantity. The information collected at the beginning can determine whether the order is achievable.
The family required 148 garments in total.
Quantity affects garment availability, printing time, packaging, freight weight and the final investment. A large order may also need stock to be sourced from more than one warehouse.
We asked for a complete breakdown rather than relying on an approximate total. This helped us identify that the order contained both adult and children’s garments.
The adult order included 2XS, XS, S, M and L while the children’s order included sizes 2, 4, 8 and 10.

The 2XS and XS garments were adult sizes rather than children’s sizes. This distinction was important because the adult and children’s garments use different product codes and have different garment measurements.
The adult garments were quoted using JB’s Tee 1HT. The children’s garments required the corresponding JB’s Kids Tee 1KT.
The original colour request was Jade and Light Blue. Aqua was later chosen as a replacement for Light Blue.
The family wanted the order divided approximately evenly between two colours. However, garment colours are not always available in every size, particularly at the smaller end of an adult size range.
The requested Light Blue presented an availability issue for 2XS and XS. Rather than delaying the entire order, we proposed Aqua as a suitable alternative.

The remaining garments were to be divided as evenly as reasonably possible between Jade and Aqua while taking stock availability into account.
This is an important lesson for future customers. A colour displayed in a catalogue does not necessarily come in every garment size. Colour and size availability should be checked before the design is approved or payment is requested.
No. Some smaller sizes were unavailable in the originally requested Light Blue.
Before confirming the order, we checked supplier stock for each required size and colour. This prevented us from accepting payment for garments that could not be supplied.
A large order should never be planned on the assumption that every colour and size shown in a catalogue is currently in stock. Availability can change between the initial enquiry and the time an order is placed.
By identifying the problem early, we gave the family an alternative rather than allowing the shortage to become a production delay.
JB’s Wear was chosen because it provided a practical balance of quality, comfort and affordability for a 148 garment order.
The adult garments were based on the JB’s Tee product code 1HT. The children’s garments were based on the JB’s Kids Tee product code 1KT.
For a memorial order of this size, the garment needed to be suitable for printing while keeping the total investment manageable. The family needed shirts that could be worn together at the funeral without moving into a premium price range that might place unnecessary pressure on the budget.
JB’s Wear also offered a broad selection of sizes and colours. Although not every requested combination was available, the range gave us enough flexibility to recommend Aqua in place of Light Blue.
The family supplied a photograph rather than completed print ready artwork.
The photograph had to become the centrepiece of the tribute design. Wording was also required above and below the image.
A photograph by itself is not always ready to place directly onto a shirt. It must be checked for resolution, clarity, background quality and suitability for the intended print size.
We helped create the final layout and selected a font style that supported the feeling of the tribute. Small font changes were made after the first digital mockups until the family was comfortable with the presentation.

The mockup stage was particularly important because memorial shirts carry personal meaning. A spelling error, unsuitable font or incorrectly placed photograph would be far more significant than a minor error on ordinary promotional apparel.
DTF printing was selected because it suited the available timeframe, the coloured garments and the photographic tribute design.
DTF stands for direct to film. The design is printed onto a transfer film before being applied to the garment using controlled heat and pressure.
This process was suitable for the order for several reasons:
A white print layer was used for the wording to keep the design readable and help control the overall investment. More complex print effects or additional print locations would have increased production time and cost.

Adult prints were prepared at approximately 32 cm wide while smaller versions were created for children’s garments.
Using one print size across every shirt would not have produced a balanced result. A 32 cm design may work well on an adult medium or large shirt but would overwhelm a children’s size 2.
The smaller garments therefore required proportionately reduced artwork. The photograph and wording still needed to remain readable after being scaled down.
This required more than simply pressing a print button. The layout had to be checked at each print size so the wording did not become cramped and the photograph remained recognisable.
Digital mockups allowed the family to approve the design before garments were printed.
The first mockup is not always the final version. In this case, small changes were requested to the fonts before final approval.
These changes were completed before production rather than after the shirts had been printed. Once a design has been permanently applied to 148 garments, changing the font is no longer a simple correction.
The approval process protected both the family and the printer by confirming:
The family chose to pay by credit card after approving the final digital mockups.
We also offered bank transfer as an option. Credit card payment was selected because it could be confirmed promptly and helped the order move into production without waiting for a transfer to clear.
Full payment was requested only after the final mockups had been approved. Once payment was received, the apparel was ordered and the production job was released.
For an urgent order, delayed approval or payment can reduce the remaining production window. Customers should therefore be ready to review mockups and finalise payment promptly when working towards a fixed funeral date.
Air freight and road express were compared based on cost, timing and delivery risk.
The finished shirts were expected to weigh approximately 48 kilograms across three cartons. Each carton measured around 54 cm x 38 cm x 33 cm and weighed approximately 15 to 16 kilograms.
The estimated air freight investment was approximately $850. Road transport was estimated at approximately $108.
Air freight initially appeared attractive because the order was urgent. However, the family had contacted us with 18 days available for artwork, production and delivery. Once the schedule was mapped correctly, there was sufficient time to use road express.
The family therefore chose road transport. This decision reduced the freight investment by approximately $742 without compromising the required arrival date.
This shows why urgent does not always mean air freight is necessary. The correct freight method should be chosen by working backwards from the event date and allowing a reasonable delivery buffer.
We treated the order as a sequence of dependent steps rather than a collection of separate tasks.

Each step had to be completed before the next could proceed safely. Ordering garments before the colour split was approved could have resulted in incorrect stock. Printing before the mockup was approved could have resulted in an unacceptable design.

All 148 tribute shirts were printed, dispatched and delivered in time.
Once the shipment entered the courier network, the tracking number was emailed to the client. We continued monitoring the shipment rather than treating dispatch as the end of the job.
When the courier reported that delivery had been completed, we contacted the client to confirm that the cartons had arrived safely.
The family confirmed that the shirts arrived in time and they were happy with the completed order.
The successful result was not based on rushing blindly. It came from making early decisions, checking stock, gaining artwork approval and selecting a freight service that matched the real deadline.
Several details could have caused problems if they had been overlooked.
A children’s size 8 is not the same garment as an adult 2XS. The correct JB’s Wear product needed to be ordered for each member of the family.
This also affected print dimensions. The children’s designs had to be reduced and checked separately rather than using the adult print at full size.
The requested Light Blue was not suitable for the complete size range. Rather than accepting the order and discovering the problem later, we checked availability before production.
Aqua provided a practical alternative that remained close to the family’s preferred colour direction.
The supplied photo was meaningful but was not a completed production file. It needed to be adapted for printing and combined with the tribute wording.
The image, font and spacing all contributed to the emotional character of the final shirt.
The order was large enough to require three cartons. Freight could not be estimated as though one small parcel was being sent.
By comparing the actual carton dimensions, weight and available transit time, road express became the better option.
Sending a tracking number helped the family know the order was moving. Checking in after delivery gave them an opportunity to confirm that everything had arrived before the funeral.
For urgent memorial printing, communication is part of the service rather than an optional extra.
Do not send only the total number of shirts. List every adult and children’s size separately.
This allows stock to be checked accurately and reduces the risk of ordering the wrong garment type.
Your first colour may not be available in every size. A backup colour can prevent the entire order from being delayed.
The alternative should be approved before blank garments are purchased.
Provide the original image wherever possible rather than a screenshot from Facebook or a photo copied from a messaging application.

Ask the printer to compare air and road services using the actual cartons, destination and delivery deadline.
The shirts should arrive before the day they are needed. Planning delivery for the morning of the funeral creates unnecessary risk.
A buffer gives the family time to distribute the shirts and check the size allocation.
Without early stock checking, the family could have approved Light Blue shirts that were unavailable in the requested smaller sizes.
Without separate children’s artwork, the design could have been too large for the smallest shirts. Without mockups, the family might not have seen the font and layout until after printing.
Choosing air freight without comparing the schedule could also have added approximately $742 to the order unnecessarily. Choosing ordinary road freight without allowing enough time could have placed the delivery date at risk.
A successful urgent order requires speed but it also requires controlled decision making.
